Bookings and payments

When you book, we collect your name, email, phone number, address, chosen stay and acceptance of the booking terms. We use this information to arrange and manage your booking, contact you about your stay and handle changes or cancellations. This processing is necessary to take steps at your request and perform your booking contract.

Booking details are sent to Smoobu, our property management provider. Stripe securely processes your payment details and may use them to prevent fraud and meet its own legal obligations. Our website does not store card numbers or security codes. Stripe receives your contact details for payment processing and receipts.

Hosting and security

Cloudflare hosts this website and its booking database and processes technical connection information. We retain booking references, payment status, dates, totals and policy acceptance to administer bookings, resolve disputes and protect against duplicate transactions. These purposes also support our legitimate interests in operating a reliable booking service. Records needed for legal obligations are retained for those obligations.

The checkout's temporary copy of your guest contact and address details is removed after a confirmed or cancelled checkout. An unresolved booking may retain those details while our team investigates. Smoobu and Stripe retain their own records under their applicable retention arrangements. Contact us for information about records associated with your booking.

Your browser and external services

Essential browser session storage lets you resume checkout in the same browser tab. Stripe may use essential technologies for payment security and fraud prevention. This website does not use marketing analytics. Fonts are requested from Google Fonts, which receives technical connection information. Service providers may process information outside the UK under their applicable data transfer arrangements.

The download option saves a copy to your device; it does not submit an enquiry. Submitted enquiries are stored in Supabase for up to 90 days. Landlord enquiries are also synchronised to HubSpot for follow-up. Resend sends operational notifications. Enquiries do not automatically subscribe you to marketing. Aisha uses approved information and OpenAI to help answer questions; chat records are retained for 30 days. Restricted historical Smoobu messages used for reviewed learning are retained for 90 days and are not uploaded for model training. See our concierge privacy information for details.

Your choices and rights

You can contact [email protected] to request access, correction or deletion of personal information, or to discuss restriction, objection or data portability where applicable. Some information must be retained to fulfil bookings or legal obligations. You may complain to the Information Commissioner's Office.
